We’re looking for an experienced Project Coordinator to join a growing global business and play a key role in supporting project teams, consultants and office operations across Australia, New Zealand and Canada.
This is far more than a traditional administration role. You’ll sit at the heart of the business, coordinating projects, managing high-quality client deliverables, supporting mobilisation, coordinating travel and logistics, and keeping the office hubs running smoothly.

About the Role:
Reporting to the Business Support Services Team Lead, you’ll provide high-level coordination and administration support across a diverse portfolio of global projects.
Your day-to-day responsibilities will include:
- Coordinating project administration and supporting Project Managers and Scientists
- Managing document control, formatting and proofreading of client deliverables
- Setting up and administering projects within Project Works
- Supporting proposals, project costs, data reporting and monthly project invoicing
- Preparing daily, weekly and monthly reports
- Coordinating procurement of equipment and consumables and managing freight logistics
- Supporting project mobilisation including flights, accommodation, rosters, training and site requirements
- Maintaining project health and safety administration and records
- Managing shared inboxes and providing high-level internal customer service
- Coordinating meetings, presentations, calendars and meeting room requirements
- Supporting office operations including suppliers, catering, events, stationery and facilities
- Assisting with onboarding and office inductions for new employees
- Supporting wider business projects including SharePoint, website and HSE initiatives
- Contributing to improved templates, reporting processes and internal knowledge resources
About You:
We’re looking for an experienced administrator or coordinator who is highly organised, proactive and genuinely enjoys being the person others can rely on.
You’ll ideally bring:
- 5+ years’ experience in administration, project coordination, mobilisation or business support
- Project coordination experience is highly desirable
- Previous consultancy or project management experience is advantageous but not essential
- Exceptional attention to detail and document formatting skills
- Strong written and verbal communication skills
- Excellent organisational and time management abilities
- The ability to manage competing priorities and work to tight deadlines
- Advanced computer literacy and strong proficiency across MS Word, Excel, Teams, SharePoint and Adobe Acrobat
- The ability to work independently while also being a strong team player
- A proactive, solutions-focused and can-do attitude
- Canva experience is highly regarded

Do I need previous industry experience?
Yes. Silverstone specialises in recruiting experienced professionals. Most of our roles require relevant industry experience, licences, tickets and the ability to work safely in operational environments.
While entry level opportunities may occasionally become available, they are very limited. If you’re looking to start a career in FIFO or enter the industry without relevant experience, we recommend gaining industry qualifications, licences or transferable experience before applying for specialised roles.
